How to Use Agents

Agents sell one or more subscription plans and get commissions from the related sales.

 

Create Agents

Agents -> Add Agent

You are required to enter full details about the agent – Name, Company, Email, Address, Telephones, etc. You can also select the language of the statements the Agent will receive.

Finally you have to choose the status of the agent – active or inactive.

 

Agent -> Edit Agent -> Commission Profile -> Subscription Plans

You can select to apply a single commission percentage to all charges from the subscription plan – in this case you have to choose one commission amount (as percentage from the charges from the plan).

Alternatively, you can select to apply a commission to specific charges from the subscription plan – in this case you have to choose the commission amounts for each call zone in the plan (again as percentage from the charges).

 

Please note that you can only assign existing subscription plans to agents – thus you have to first create your plans before you assign them to your agents.

 

Agent -> Edit Agent -> Commission Profile -> Commission Structure

After adding the subscription plan you need to setup the commission structure:

You have to choose the Commission Type – commissions can be applied to recorded sales (all invoices) or to paid invoices (only paid invoices).

The system allows you to choose from three settlement periods (period for issuing the agent statements) – fixed period (e.g. every 5 days), fixed date (e.g. on the 1st day of the month), or manual.

You can also choose whether statements will be automatically sent to agents by email.

 

Agent Statements

Agents -> Edit Agent -> Statements -> Statements

Statements give detailed information about the amount due to each agent for a selected period of time. After a statement is paid to the agent its status should be changed from “Due” to “Paid” using the “Change Status” button from the toolbar.

 

Please note that once you change the status from “Due” to “Paid” it cannot be undone!

 

Agents -> Edit Agent -> Statements -> Generate Statement

If the settlement period is set to “manual” you have to generate manually agent statements.  Use the “Generate” button from the toolbar to generate a new statement – after generation the statement will appear in the statement list.

 

Agent Reports

Agents -> Edit Agent -> Reports

One way you can review Agent reports is from the Agents menu.

 

The system provides the main information needed for each agent:

  • Accounts
  • Total Commissions
  • Commissions per Plan
  • Commissions per Account

 

Each report allows you to choose from predefined time periods or to enter a custom date range.

 

Reports -> Agents

Another way you can review Agent reports is from the Reports tab.

 

Agent reports provide all necessary information about the agent activity:

  • Commissions – snapshot of commissions segmented by different attributes
  • Commissions Trends  – trending of commissions to revenue, cost or gross margin

 

The data is segmented per subscription plan, account, country, state, and account category.
